I hope all is well! As your departure date approaches, you will be receiving periodic emails from Explorica with important reminders for your tour, so please make sure you read them carefully!
Sign Up Deadline:
I’d like to remind you that your 105 days prior to departure sign up deadline is on December 12, 2014.
This means that all travelers and free place chaperones need to be enrolled by that date.
Late Enrollments:
All participants who enroll past the sign up deadline must pay their full balance in addition to a $125 late enrollment fee immediately upon enrollment. After enrollment, additional charges (for last-minute flight reservations, increased tour fees, etc.) may apply.
Enrolling Free Places:
You can send your potential chaperone a free place invitation from your tour center. Here are the steps:
1. Log in and go to the main page of your Tour Center
2. Go to your “Teacher Toolbox” and click on “Free Places”
3. Click on “New Invitation” and fill out your chaperone’s information (name & email address) and click “Send”
Your chaperone will then receive a voucher code via email. They need to enter that voucher code and hit “Redeem” when then enroll online to receive the free place discount.
Discounted Tour Fee:
Should you not attain the number of full-paying participants needed to cover all your Free Places, a pro-rated tour fee will apply. This discounted tour fee will appear on your account after the 105 days prior to departure enrollment deadline, and will be due by 81 days prior to departure. Any remaining balances after this date will be assessed a late payment fee of $50.
Optional Extras for Individual Participants:
Explorica offers various options to enhance your travelers’ overseas experience. If interested, a traveler must register for the following optional extras at the time of their enrollment. Any changes to their itinerary after time of enrollment will be subject to availability and additional charges will apply.
1. Alternate U.S. Gateway (Tour fee from new airport + $145.00 service fee)
2. Stay-Ahead ($145.00 service fee)
3. Stay-Behind ($145.00 service fee)
4. Land Only (just the land cost of the trip, the traveler will purchase their own flights).

*Tipping:
Like waiters and other members of the service industry, Tour Directors and bus drivers depend on tips to make a living. Group Leaders are advised to collect these tip amounts from participants in advance to avoid confusion or lack of money at the end of the tour. Please check out the rates for tipping on our Tipping on tour page
*Ask your Program Consultant about how to pre-pay your tips!
Passport Collection:
Travelers taking an Explorica tour with an internal flight or overnight ferry, (most tours to China, Latin and South America, Australia, Morocco, Greece among selected European tours), must supply their passport information (name, date of birth, passport number, country issued, expiration date, and date of issue) to us approximately three months prior to departure. It is crucial that we collect your travelers’ detailed passport information for our Operations team by this date as we risk compromising your tours’ reservations. Please have your students completely fill out the passport information on their Explorica accounts. We will be contacting you as we get closer to your departure with any information that we are missing.
**Tours to China, Peru & Cuba: In addition to completing the information online, China, Peru & Cuba tours require color copies of each travelers’ passports to be submitted to Explorica by 90 DPD.
Please note that travelers are responsible for obtaining any travel documents that may be necessary for their trip. If you or any of your participants have yet to secure a passport or visa, I encourage you to visit http://travel.state.gov/
Booking Optional Excursions:
If you are going to France, the deadline to book the optional excursion to Versailles is 105 days prior to departure. For all other excursions, you can add them until 45 days before your trip departs. Please email me directly to add excursions. Keep in mind, the cost of the excursion will be added onto the students accounts and they should make a payment as soon as possible so their regular payment plans are not affected.
